How personal data is handled on the Cyclomer website — aligned with UK GDPR.
Who we are
Cyclomer Ltd ("we"), registered office Office 7408, 58 Peregrine Road, Hainault, Ilford, Essex IG6 3SZ, is the data controller for personal data processed through this website. Contact: info@cyclomer.co.uk.
What we collect and why
Enquiry data. When you submit a quote request or material offer we collect the details you provide: name, company, email, phone, location, material details, message and any files you upload. Lawful basis: legitimate interests (responding to a business enquiry you initiated) and, where a contract follows, performance of a contract. Your enquiry records the timestamp of your consent to this policy.
Visitor logs. Like most business websites we keep a server-side log of visits, whether or not you accept analytics cookies. Each entry records: your IP address, the pages and page titles you opened, the referring address, your browser's language, screen and window size, device type, operating system and browser, and the date and time. From the IP address we also derive an approximate location (country, region, city, postcode area, coordinates and time zone) and the name of the network or organisation the address belongs to. This lookup is performed by ipwhois.io, which receives the IP address for that purpose only. Lawful basis: legitimate interests — protecting the site against abuse, and understanding which companies and regions our commercial content reaches. This log involves no cookies and no access to anything stored on your device. Automated traffic (search-engine crawlers and bots) is discarded rather than logged. Visitor logs are deleted after 90 days. You may object to this processing at any time using the contact details below, and we will exclude your address from logging.
Analytics data. Separately, and only after you opt in via the cookie banner, we record first-party behavioural analytics: pages viewed, referrer, UTM tags, approximate country, device class, a random session identifier and page duration. IP addresses in this stream are pseudonymised (final octet truncated) before storage. Lawful basis: consent. Declining analytics does not change how the site works.
Customer accounts. Submitting an enquiry creates a customer account for your email address (or attaches the enquiry to your existing one), so you can sign in, track your requests and manage your details. We store your email, name, company, phone and a password hash — never the password itself. Lawful basis: consent, given via the form checkbox. You can update your details or delete the account yourself at any time under Account → Settings; deleting the account removes your login and profile immediately, while enquiry records already made are retained as business records for the periods below.
Email. If you email us, we process your message under legitimate interests to reply.
We do not sell personal data, run advertising trackers, or use third-party analytics services.
Retention
- Enquiry records: reviewed after 24 months; deleted unless an active trading relationship or legal obligation requires retention.
- Visitor logs (including IP address and derived location): deleted after 90 days.
- Analytics events: deleted after 14 months automatically.
- Server security logs: rotated after 30 days.
- Trade documentation (contracts, Annex VII): retained at least 3 years as required by waste shipment law.
Sharing
Enquiry data is visible to our staff and, where needed to quote or perform a contract, to counterparties directly involved in your trade (for example a haulier collecting your material). Infrastructure providers hosting this site process data on our instructions. We do not transfer your data outside the UK/EEA except where a trade you request requires it (for example sharing consignment contacts with a Turkish consignee), with appropriate safeguards.
Your rights
Under UK GDPR you may request access, rectification, erasure, restriction, portability, and object to processing based on legitimate interests. Write to legal@cyclomer.co.uk; we respond within one month. You may withdraw analytics consent at any time by clearing cookies for this site — the banner will ask again.
If you are unhappy with our handling of your data you may complain to the Information Commissioner's Office (ico.org.uk).
